Automated processing of incoming messages (artificial intelligence)

Messages you send us by e-mail, in particular to our contact address, and through our forms may be processed automatically in order to identify rental enquiries, extract the useful information they contain (dates, type of event, budget, contact details) and, where necessary, translate them into French for the team handling them.

Purpose and legal basis: to qualify and handle your enquiries more quickly. This processing is based on our legitimate interest in responding to the requests we receive and, for booking enquiries, on the pre-contractual steps taken at your request.

Processors: the content of the message and the contact details it contains are transmitted to Anthropic, PBC (United States) for analysis by a language model, under the standard contractual clauses adopted by the European Commission, and to DeepL SE (Germany) for translation. These providers act solely on our instructions and, in accordance with their terms for professional services, do not use your data to train their models.

Data concerned: the content and subject of the message, the sender's name and e-mail address, and any contact details mentioned in the text. Attachments are not transmitted.

Retention period: a message identified as a potential enquiry is kept for 60 days in our processing tool, then deleted if it has not resulted in a recorded enquiry. If it is converted into an enquiry, it is kept under the same conditions as enquiries received through our forms. Messages set aside automatically are kept, without their content, only to measure the quality of the sorting, for the same period.

No decision is made in a fully automated way: every message identified as an enquiry is reviewed by a member of our team before any action is taken. Automated processing only provides reading assistance (summary, information extraction, translation).

Your rights: you may at any time object to this processing and request access to, rectification or erasure of your data by writing to us at the address given in the “Contact Information” section below. You may also lodge a complaint with the CNIL, the French data protection authority.
